Establish requirements for issuing University Cards to members of the Regent House
The Regent House is the Governing Body of the University (see https://www.governance.cam.ac.uk/governance/Documents/RRH-govguide-2022.pdf). It predominantly comprises academic and senior administrative staff, but also includes some other categories of people - see https://www.governance.cam.ac.uk/governance/key-bodies/rh-senate/pages/regent-house-membership-and-rights.aspx. The Roll of the Regent House is compiled annually and is held in CHRIS. The University Draftsman would like all members of the Regent House to have access to a University Card. Most currently do by virtue of being University or College staff, but a small group do not and have been refused cards by the card office. The chair of the Card Committee agrees this is desirable and they should be entitled to cards. Some members of the Regent House are not resident in Cambridge and may not need a Card, so only those members who have an entitlement and who have requested it should be issued with a card. The Clerk of The Roll of the Regent House could become a Card Rep for this purpose and manage the ordering of cards for people who fall into this group.
We need to investigate:
-
Whether the data held in CHRIS can be used to create cards on demand for Regents -
Can a Lookup Group be populated with Regent House members (does one already exist)? -
How would end dates will be calculated - the roll is compiled annually, but we do not want to re-issue cards each year where people are continuing as members of the Regent House. The University Draftsman suggests that cards could be issued for a 5 year duration.
